Board Member Responsibilities

The specific responsibilities of the Officers are set forth here; amendments may be made when appropriately based on a two-thirds majority vote of approval of the then current Board of Directors.

President

The President of EFRH shall be the USA Roller Sports (USARS) contact for the League, and shall:

  1. Conduct the affairs of the Club and execute the policies established by the Board of Directors.
  2. Report the condition of the Club at one General Assembly each year.
  3. Receive input from the Board of Directors and make suggestions to help with the growth and welfare of the Club.
  4. Be responsible for the conduct of the Club in conformity to the policies, principles, rules and regulations of the USARS as agreed to under the sanctioning agreement.
  5. Investigate complains, irregularities and conditions detrimental to the Club and report to the Board of Directors as circumstances warrant.

Vice President

  1. Interface with players/parents and USARS.
  2. Interface with USARS and the Town of East Fishkill to obtain from USARS and to the Town the League’s blanket Liability Insurance form.
  3. Interface with USARS to apply for and obtain League Sanction Agreement.
  4. Primary contact with USARS.
  5. Assist president and other BOD members as needed.

Treasurer

  1. Receive all monies and deposit them in an account designated by the Board of Directors and EFRH.
  2. Keep accurate records of the receipts and disbursement of all funds received for the Club.
  3. Approve all payments from allotted funds and draw checks therefore in agreement with polices established in advance of such actions by the Board of Directors.
  4. Prepare an annual budget under the direction of the President for submission to the Membership and Board of Directors at the Annual Meeting.
  5. Pay all bills, including town fees and payroll for our refs and scorekeepers.

Administrative Assistant

  1. Prepare score sheets and supply to scorekeepers.
  2. Review score sheets bi-weekly for:
    1. Incidents that need to be brought to the attention of the Disciplinary Coordinator and advise accordingly.
    2. Provide standings to the treasurer for posting to Web site.
    3. Provide information to Treasurer for payment to Officials & Scorekeepers.
  3. Keep minutes of all meetings, distribute to Board of Directors within one week of meeting, and file for future reference.
  4. Update Town of East Fishkill Recreation Guide annually.
  5. Handle all aspects of publicity.

Development Director

  1. Work with the Coaching Director, Director of Officiating and other individuals on the development team to create a coaching clinic.
  2. Responsible for conducting bi-annual coaching clinic and certifying all coaches who attend.
  3. Responsible for educating the league as to the Code of Conduct.
  4. Assist with the development of the younger division’s skills through clinics and other innovative techniques.

Scheduler (Games)

  1. Schedule all teams the required number of games in accordance with policy.
  2. Primary coverage updating leagues rain number.
  3. Inspect rink to insure safety due to weather conditions.
  4. Schedule team practices.
  5. Keep East Fishkill Recreation Board aware of game & light status.
  6. Schedule playoffs and inform coaches at the conclusion of the regular season.
  7. Keep Director of Scheduling Referees & Scorekeepers aware of game changes and make-ups.
  8. Keep Coaches informed of make-ups.
  9. Inform Travel Director of available travel game/practice/tryout slots.
  10. Where needed, schedule player evaluations.

Coaching Director

  1. Recruit all club coaches.
  2. Coordinate player evaluations/draft
  3. Coordinate insurance and certification for coaches
  4. Enforce all decisions made by Disciplinary Committee with regard to club coaches.

Travel Director

  1. Submit travel budget.
  2. Maintain master travel schedule.
  3. Attend Hudson Valley Roller Hockey meetings and submit meeting minutes to the Board of Directors of East Fishkill Roller Hockey.
  4. Recommend to Board of Directors travel coaches.
  5. Coordinate travel tryouts.
  6. Maintain, distribute and collect back the travel jersey inventory.

Registration Director

  1. Receive and review applications of Club registration and verify eligibility.
  2. Keep track of player registration materials and maintain a current and accurate record of them.
  3. Prepare a complete list of players eligible for the evaluations/draft.
  4. Collect and submit "Player Individual Membership" & "Coach Membership" forms (aka insurance forms).
  5. Provide an accurate account of non-residents to the Treasurer to then provide a check to the Town of East Fishkill for these fees.

Director of Officiating

  1. Recruit and train all referees as necessary.
  2. Be responsible for all referee certifications.
  3. Forward game misconducts and bring such to the awareness of the Disciplinary Coordinator.

Scheduler (Officials)

  1. Hire scorekeepers.
  2. Schedule 2 referees and scorekeepers for games. Please see Club Rules for priority order of assignment.
  3. Work with Scheduler to schedule officials for makeups and playoffs.
  4. Work with Administrative Assistant to make sure treasurer gets information for payment for referees and scorekeepers.

Special Events Coordinator

  1. Chairperson for Community Day, Tournaments & League Picnic.
  2. Create and maintain the League’s Calendar of Events.

Rink Maintenance

  1. Oversee all rink related repairs.

Equipment Manager

  1. Purchase, distribute, collect and inventory all league owned equipment.
  2. Purchase & distribute game jerseys and pucks.

Webmaster

  1. Maintain the web site www.efrhl.com.
  2. Post stories/information on the web site.
  3. Post newsletter on web site.
  4. Post standings on web site.

Newsletter Editor

  1. Collect and compile information for Newsletter twice a year.
  2. Distribute to members of EFRH.
  3. Provide Webmaster with a copy for posting on the web site.

Disciplinary Coordinator

  1. Whenever there is an infraction that requires further investigations (ie: fighting, double majors, game misconducts, gross misconducts, etc.) the director of discipline will be in charge of gathering all the statements of the participants.
  2. The Disciplinary Coordinator will recommend to the board as to what course of action is needed (ie: hearing, further suspension, etc.)
  3. If hearing needed, the Disciplinary Coordinator would coordinate and form a committee and make arrangements with the participants to attend a hearing.
